Once an award is conferred the Alumni and Supporters Privacy Notice will apply.

The purpose of collecting personal information

The purpose for which Goldsmiths will process personal information is to receive and assess nominations for Honorary Degrees or Honorary Fellowships of the College.

The processing will involve:

  • Establishing that the person making the nomination is eligible to do so 
  • Verifying the identity of nominees 
  • Locating publicly available data about nominees
  • Evaluating nominees against the published criteria for Honorary Degrees and Honorary Fellowships
  • Communicating any additional information that might be needed to process the nomination
  • Communicating with nominees to confirm arrangements for graduation ceremonies where the award will be presented

The legal basis for processing personal information 

The legal basis relied on for lawful processing by Goldsmiths is Article 6(1)(f) of the United Kingdom General Data Protection Regulation ('UK GDPR'), “processing is necessary for the purposes of the legitimate interests pursued by the controller”. 

Personal information collected

The personal information collected about nominators may include:

  • Name
  • Whether they are a member of staff, a current student, an Alumnus/Alumna (former student of Goldsmiths, a Member of Council, an Honorary Fellow or Honorary Doctor

Information collected about nominees may include:

  • Link to a photo of the nominee
  • Links to nominee's social media, Wikipedia entry, personal website, and any other information available in the public domain, to help the Honorary Degrees and Fellowships Committee in considering nominations
  • Biographical information to be included in public announcement of the award
  • Photos for publicity purposes 

Sharing your information with others 

Goldsmiths does not share data with third-party organisations other than those acting on its behalf and with whom it has data-sharing agreements.  Arrangements will be in place to ensure that your data is exchanged in a secure manner and that it is not used for any purposes other than those agreed by Goldsmiths. Appropriate safeguards will be put in place where your data is to be transferred outside the European Union. =

How long will we retain your personal data

Goldsmiths will retain your personal data for as long as there is a lawful reason to do so, unless you request that it be removed from the records. You may ask at any time for us to delete your personal data by contacting dp (@gold.ac.uk).  Where this happens, a record of the request and basic details will be retained in order to ensure that your data is not added to the database in future. 

Securing your personal data

Your personal data is held securely within the College. Access to the data is controlled. Staff processing the data receive relevant training on data protection and information security. From time to time, the College may commission agents of a third party to enhance the systems storing your personal data. Where this occurs, they will act strictly in accordance with the instructions given by the College, scheduled within a data sharing agreement, so that your personal data remains secure.
